            Objective:
            This Corporate Based Credential Cluster concerned with the development of a system that is simple and easy to use yet a powerful web application for sharing, managing and controlling enterprise documents on intranet/internet in a secure manner.

            This Corporate Based Credential Cluster concerned with the development of a system that is simple and easy to use yet a powerful web application for sharing, managing and controlling enterprise documents on intranet/internet in a secure manner.
            Manage your documents over the Web. It enables to create a central repository of organizational documents indexed by key words and organized by category. Internet based Document Management System provides a document library with secure access control, advanced search features and document-centric collaboration for document sharing and supporting project teams
Some of the features are:
  • The user has the facility to:
    • Create and delete of accounts
    • Updating of personal data
    • Retrieval of password and other information
    • Restricted list of download documents and other data
    • Introduces advanced search techniques for quick and easy retrieval of data
  • The user can search a particular file by just specifying its subject, keyword, description etc .In addition the user also has the facility of sorting the data i.e. viewing documents uploaded by a particular person or persons falling in a particular group.
  • More users friendly and centralized.
  • The transaction process is simplified.



3. EXISTING SYSTEM:

1.Beginning in the 1980s, a number of vendors began developing systems to manage paper-based documents. These systems managed paper documents, which included not only printed and published documents, but also photos, prints, etc. The earliest electronic document management (EDM) systems were either developed to manage proprietary file types, or a limited number of file formats.
2.   The future of the existing system has to be seen as one of continuous change, where the information that is stored is of increasing complexity and quantity.  The existing system is required to provide a useable and well managed interface for users, and administrator users to view and manipulate the data for which it is responsible.  For each it must allow the rapid formulation and resolution of queries related to the user information.  There is also a requirement for the system to interact with other information sources as required, both as an information source and as a consumer of related information during the resolution of queries.
3.   There is no Uploading and Downloading facilities for any documents, every document can be shared with others either paper or memory devices.
4. PROPOSED SYSTEM:
The development of this new system contains the following activities, which try to automate the entire process keeping in the view of database integration approach.
  • User Friendliness is provided in the application with various controls provided by system Rich User Interface.
  • The system makes the overall project management much easier and flexible.
  • It can be accessed over the Intranet.
  • The user information can be stored in centralized database which can be maintained by the system.
  • This can give the good security for user information because data is not in client machine.
  • Authentication is provided for this application only registered parties can access.
  • There is no risk of data management at any level while the project development is under process.
  • A user can directly upload and download files into the system, the documents can be stored in the centralized Database.

Authentication:
This module provides security to the application.  Every user should enter correct user name and password to proceed.  This request will goes to database and check the user existing.  If you entered wrong user name and password then it prompts you “Incorrect Username or Password…”


Administrator:
In this module the Administrator has the privileges to add all the Users ,Document Type and delete any documents which was posted by user. He can search all the info about the Documents and Users. He can read as well as delete any irrelevant posts by the members.
Users:
A user should be able to register giving basic information. Login to the system and change the password (if required) after logging in. Post documents/information and edit/delete his contributions. Access/ Search documents/information posted by others (only read access).Search information by different parameters – rating/key words/relevance/category In this module User can add and update his own documents.  To upload any document user has to be registered.
Reports:
The following reports can be generated. You can implement more reports which you think can be useful.
·         List of members in the system and the number of contributions made by them.
·         Number of Contributions by category and type
Registration:
      The system has a process of registration.  Every member need to submit his complete details in the form of registration.  Whenever a user registration completed automatically user can get a user id and password.  By using that user id and password member can log into the system
Search:
            Different kind of search available to users as well as administrator.  A user can search other users for sharing the opinions. Administrator can search the information which are uploaded into the system by any member.
